Property management entails the control and supervision of interest in landed properties on behalf of clients. Efficient management of properties is the only way to ensure constant and adequate returns on property investment. Inefficient property management practice usually results in delayed or no-payment of rent and service charge by tenants, high vacancy rate, high maintenance cost and eventually, the deterioration of the property.
The services that our firm will render under the property management instruction include the following, among others:
- The keeping and updating of property records and register and ensuring that notices to renew and/or determine leases, exercising options, are taken up at their appropriate dates.
- Collection of rents and other charges and prompt payment to the landlord, including submission of bi-annual statements of income and expenditure.
- Commercial developments such as office blocks, hotels, cinema houses and tourism centres.
- Dealing with lettings, re-letting and rent reviews.
- Ensuring that necessary legal documents are drawn up through liaison with the landlord’s solicitors and that all leases are properly documented and that necessary consents are obtained.
- Regular inspection of the property to ensure that the tenants comply with their repair and maintenance covenants, including assessing and negotiating dilapidation.
- Dealing with rates and ensuring prompt payment by those liable either by contract or by law.
- regular review of the potentials of the property;
- Organizing maintenance and improvement schemes for properties including compiling periodic schedules of dilapidation for remedy.
As is customary with properties in multiple occupation, service charge deposit is usually levied on all occupants. The amount collected as service charge is used to run the common services in the property. Service charge is usually paid annually, bi-annually or quarterly in advance.
The Managing Agents are required to give full account of how the money paid as service charge has been expended. The amount charged is subject to change and it is adjustable upward or downward depending on the amount actually expended in the preceding accounting period and the budget estimates for the accounting period.
The service charge collected will be expended on the following:-
- Provision of supervisors, commissionaires, security staff, cleaners and gardeners.
- Maintenance of fire-fighting equipment and installation including regular replacement of non-functional and/or obsolete fire extinguishers.
- Cleaning and polishing of staircases and other common areas, including periodic repainting and redecoration.
- Maintenance and repair of standby generating plant and borehole.
- Payment of electricity bills accruing on the meter feeding the common areas.
- Employment and clothing of estate staff including provision of staff identity cards.
Regular and adequate returns on property investment can only be guaranteed where a professional and efficient property management practice has been put in place.
